Quote vs invoice

A quote is a proposal — an invoice is a payment request. Below the basics, and how FactuurSturen.app links the two.

What does what

Quote = proposal beforehand

You send a quote before you do the work. It describes what you'll deliver and what it costs. The client accepts (or not). A quote is not an invoice — nothing needs to be paid yet.

Invoice = payment request afterwards

You send an invoice after delivery or service. It states the amount due, including VAT, with a unique invoice number and a payment term. The client must pay this amount.

Track the status

On a quote you see: draft → sent → viewed → accepted (or rejected). On an invoice: draft → sent → viewed → paid (or overdue). FactuurSturen.app tracks both.

Convert with one click

Client approved your quote? One click in FactuurSturen.app turns it into an invoice — same lines, new invoice number, ready to send.

Frequently asked questions

Should VAT be on a quote?

Yes, it's common practice to show VAT as it will appear on the final invoice. That way the client knows the exact total.

How long is a quote valid?

You decide. Typically 14 or 30 days. Put the validity date on the quote so it's clear how long the proposal stands. FactuurSturen.app has a validity-date field.

Can I send an invoice directly without a quote?

Yes, for many small jobs that's standard. A quote is neither mandatory nor required — you use it when you want to agree on price and scope upfront.
