Questions personal trainers often have

What VAT rate applies to personal training?

For sports and sports instruction to individuals, the 9% rate often applies in the Netherlands. Personal training usually qualifies, as long as the focus is on sports activity. For business clients (corporate training, in-company programs) 21% usually applies. In doubt? Ask your accountant or the tax authority — rules can be specific to your situation.

Invoice the pack upfront or per session?

Packs (e.g. 10 sessions) you typically invoice upfront — it secures commitment and you don't have to chase after each session. Single sessions you can collect monthly on one invoice. For memberships (flat fee/month for x sessions), a recurring invoice is most convenient.

What do I put on the invoice for a pack of 10?

One line: "10-session personal training pack, valid until [date 3-6 months later]". That covers the fiscal registration. In a separate email or confirmation you can send planning or terms — the invoice doesn't need to be packed with that.

Online coaching — invoice differently?

For online coaching with Dutch clients the same VAT rate as physical training applies. For clients in other EU countries reverse charge often applies (0% VAT, "VAT reverse charged" on the invoice). FactuurSturen adds that note automatically if you set the client as foreign.
