Questions caterers often ask
9% or 21% VAT — how do I know which rate?
In the Netherlands, food and non-alcoholic drinks you deliver usually fall under 9% VAT. Alcoholic drinks fall under 21%. For full-service catering (where serving is a major part), 21% often applies to the whole amount — when service dominates over food. When unsure, split per line or ask your accountant.
Delivery costs — invoice separately?
A separate line on the invoice is cleanest. "Delivery and setup" with the VAT rate that fits the main service. Pure food delivery often sits at 9%; hospitality delivery (with serving) at 21%. Agree the amount upfront in your quote — surprises afterwards mean trouble with your client.
Client cancels close to the event — how do I handle that?
Cancellation terms go in your quote before you order anything. Common: more than 14 days before the event, no charge; 7-14 days, 25%; 3-7 days, 50%; less than 3 days, 100%. On cancellation, send an invoice with the agreed percentage and "Cancellation [event] [date]" in the description. Materials already purchased and non-returnable, you invoice separately.
