What's the best invoicing software? That depends on you.

There's no "best". There's only "what fits your situation". For most freelancers who invoice occasionally, a simple tool is enough — no reason to buy a full accounting suite. Below: three questions to help you choose, plus honest advice about when FactuurSturen fits and when something else is better.

Three questions to determine what you need

How often do you invoice?

Three times a month or thirty? For low volumes, a credit system (pay per invoice) is cheaper. If you invoice a lot, a flat monthly plan fits better.

What do you do about bookkeeping?

Have an accountant who handles everything? Then you don't need an accounting suite — just invoicing. Do it yourself including VAT filing and year-end reports? Then you need something heavier than an invoicing tool.

How much time do you want to spend on admin?

As little as possible? Pick something simple you learn in 2 minutes. Enjoy having everything organized in one suite? Then something more comprehensive fits better.

When is a simple invoicing tool enough?

You send fewer than 50 invoices per month

For low volumes a credit system is cheaper than a flat monthly plan.

You have an accountant for the rest

VAT filing, year-end reports, bank reconciliation — if someone else handles that, you don't need a tool that supports it.

You want to keep it simple

No accounting jargon, no ten tabs, no learning curve. A tool that only does what it promises.

You appreciate Dutch focus

VAT rates, KvK numbers, IBAN, payment terms, QR code for iDEAL — built for how things work in the Netherlands.

When do you need something different?

Staff or multiple team members

An invoicing tool is for one person. If you have staff, time tracking, or multiple product lines, something more comprehensive fits better — ask your accountant what they recommend.

You file VAT yourself

Want to file VAT directly from the tool? FactuurSturen can't do that. For that purpose, suites with filing integration fit better.

You want bank integration and auto-matching

Auto-match bank statements to invoices, categorize transactions, everything in one dashboard? That's an accounting suite, not an invoicing tool.

You need inventory or webshop integration

Stock management, webshop integration, auto-invoicing from orders — specialized tools fit better there.

Frequently asked questions about choosing invoicing software

Is free invoicing software good enough?

For one or two invoices a year: yes. For regular invoicing it becomes work: tracking numbers, calculating VAT, sending reminders, storing everything on your laptop. A paid tool at €2/month is often cheaper than the time you spend — and you get automatic follow-up.

Do I need an invoicing tool or can I use Word?

For a handful of invoices Word can work. For regular invoicing a tool is faster: automatic numbering, VAT calculation, client storage, reminders, payment status. Time saved per invoice: 10-15 minutes. With 5 invoices per month, that's an hour less admin per month.

How do I know if FactuurSturen fits me?

Three questions: (1) Do you send fewer than 50 invoices per month? (2) Do you leave VAT filing and year-end reports to someone else? (3) Do you want something simple without a learning curve? Three yes's → FactuurSturen fits. One no → look further.

Can I easily switch from one tool to another?

Usually yes. Most tools let you export invoices and clients as CSV or PDF. Old invoices stay accessible as archive; in the new tool you continue with your next invoice number. Coordinate with your accountant how to record the transition.

Which features are must-haves for invoicing software?

In 2026 you'd expect: automatic numbering, VAT calculation per line, email sending with PDF attachment, automatic reminders, QR code for mobile payment, client management, and export to your accountant. FactuurSturen has all of this in every plan — no feature gating.

What's the difference between an invoicing tool and an accounting suite?

An invoicing tool creates and sends invoices, tracks clients, helps with follow-up. An accounting suite does that plus VAT filing, year-end reports, bank integration, time tracking. An accounting suite is much broader and costs more. For people who only want to invoice, that's overhead.
